1. Overview
SpotBureau is a public-record intelligence brand operated by Tri-Source Group LLC, a Florida limited liability company (“SpotBureau,” “we,” “us,” or “our”). We aggregate public-record data from thousands of sources so that businesses and individuals can search, discover, and resolve compliance, tax, and property-ownership questions. Tri-Source Group LLC also operates the Pinrates, MineralGraph, SpotUs, and Verification brands referenced on this site.
We respect your privacy and are committed to handling information responsibly and transparently. This policy describes our practices for the SpotBureau website and the products that link from it, unless a product presents its own separate privacy notice.
2. Scope of this policy
This policy applies to information we collect through the SpotBureau website and related services (the “Services”). It does not apply to third-party websites, products, or services that maintain their own privacy policies, including the separately operated pinrates.com and spotus.com sites. Your use of the Services is also governed by our Terms of Use.
3. Information we collect
Information you provide
We collect information you give us directly — for example, when you create an account, run a lookup, request a demo, contact us, or submit a data-access or correction request. This may include your name, email address, phone number, company, the search terms you enter, and the contents of your communications.
Information collected automatically
When you use the Services, we automatically collect certain technical and usage information, such as your IP address, device and browser type, pages viewed, referring URLs, and interactions with the site. We collect this information using cookies and similar technologies (see Cookies & tracking).
Public-record information
A core part of our Services is the aggregation of public-record data about individuals and businesses — such as property and mineral ownership, business registrations, filings, licenses, and tax and compliance records. This information is drawn from government and other publicly available sources, not collected from you directly, and may relate to you even if you have never used the Services.
4. Sources of public-record data
We compile public-record data from a range of authoritative sources, which may include county recorders, secretaries of state, tax assessors, court records, UCC filings, deed registries, and licensing authorities, among others. Because these records originate with third parties, their completeness, accuracy, and timeliness are subject to the underlying source. 5. How we use information
We use information to:
- provide, operate, maintain, and improve the Services;
- resolve and present public-record data in response to searches and product requests;
- create and manage accounts, authenticate users, and process transactions;
- respond to your inquiries, data-access requests, and support needs;
- monitor, secure, and protect the Services against fraud, abuse, and unauthorized use;
- analyze usage and trends to develop new features and improve performance; and
- comply with legal obligations and enforce our Terms of Use.
8. Your privacy rights
California (CCPA/CPRA)
If you are a California resident, you may have the right to know the personal information we collect and how we use and disclose it; to request access to and a copy of that information; to request deletion or correction; and to opt out of the “sale” or “sharing” of personal information. We will not discriminate against you for exercising these rights.
Other U.S. state rights
Residents of other states with comprehensive privacy laws (such as Virginia, Colorado, Connecticut, and others) may have similar rights to access, correct, delete, and opt out of certain processing, subject to the applicable law and its exceptions.
How to exercise your rights
You can submit a request through our consumer access tools or by contacting us at privacy@tri-source.com. We will verify your request as required by law before responding, and we may be unable to fulfill requests that conflict with legal obligations or that concern information exempt from these rights.
9. Public records & your data
Much of the public-record data available through the Services originates with government and other public sources. We do not control the underlying records, and correcting a record at its source may require you to contact the originating agency directly. We will, however, address requests concerning the data as presented through the Services as described below.
You can review categories of information associated with you and flag a potential error through our consumer access experience, or by writing to privacy@tri-source.com. Where a record is inaccurate or out of date, we will investigate and, where appropriate, correct, annotate, or suppress the record as presented through the Services.
SpotBureau is not a consumer reporting agency, and the public-record data provided through the general Services is not a consumer report. It may not be used to make decisions about credit, employment, insurance, housing, or any other purpose governed by the federal Fair Credit Reporting Act (FCRA). See our Terms of Use for details.
10. Data retention
We retain information for as long as necessary to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. Public-record data is retained consistent with our role as an aggregator of publicly available information. Retention periods vary by the type of information and the purpose for which it is held.
11. Security
We maintain administrative, technical, and physical safeguards designed to protect information against unauthorized access, use, alteration, and loss. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please protect your account credentials and notify us promptly of any suspected unauthorized use.
12. Children’s privacy
The Services are intended for adults and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, please contact us so we can take appropriate action.
13. Third-party sites & products
The Services link to third-party websites and products, including the separately operated Pinrates and SpotUs sites. We are not responsible for the privacy practices of those third parties, and their handling of your information is governed by their own privacy policies. We encourage you to review them.
14. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Services after an update means you accept the revised policy.
